WP Seniors Constitution
1.0 OBJECTIVES

• Where meetings or consultations etc are to take place these can, if required by
circumstances, be conducted electronically (video eg Zoom etc, emails etc).
• At any meeting held on WPSS matters the Chair will have a casting vote.

- To promote and encourage participation in a wide choice of golfing opportunities, whilst building and maintaining good relationships, both within the section and the wider club and golfing community.
- To help ensure that our ethos of ‘fun, social golf, with a healthy element of competition’ is maintained.
- 2.0 CONTROL AND DIRECTION OF THE WPSS
- The overall control and direction of the WPSS will be through decisions made by the Annual General Meeting, which should be held in November each year (If possible).
- A WPSS Committee and Officers will manage the day to day activities of the section in an open and transparent manner.
3.0 MEMBERSHIP
- Will be available to all male members of the Warley Park Golf Club, who have attained the age of 55 years, who agree to be added to the Section’s Contact List, and who agree to participate reasonably actively in the Section’s events.
- Registration is as simple as agreeing to participate in a range of golfing opportunities and providing your contact details for inclusion in a shared Members Contact List. There is no fee involved.
- Membership may be removed if, without agreement, a member fails to take part in any competitions, matches, or social golf activities that form part of the Seniors Section usual golfing diary.
- 4.0 AGM (EGM)
- The AGM will plan to meet annually in November.
- For the purposes of making decisions there must be a quorum of at least 20 Members present
- A Notice and Agenda will be issued in good time (usually two weeks) before the meeting date.
- The meeting will be led by the WPSS Chair.
- All members will be invited to submit Questions, or Motions, in advance.
- Where appropriate nominations will be invited for Officer/Committee positions
- Communications will generally be through email notifications and the WP Seniors Website
- The Section Annual Accounts will be presented to the AGM for approval.
- An Extraordinary General Meeting (EGM) can only be called by the WP Seniors committee, or by a formal request from 10 members.
- The WP Seniors’ Committee will be responsible for considering and making decisions to ensure that the section operates for the benefit of its members in an efficient manner, using resources wisely, and ensuing probity (incl. an Annual Audit of accounts).
- It will ensure that the section’s annual diary of events is set and managed well and that there is good communication throughout the year.
- It will act to secure appointments for Committee Chair and members from within the section, subject to formal nomination and election processes and will manage the overall process for securing Senior Captain’s and Vice Captain’s in conjunction with those currently serving in those capacities.
- The Committee will operate in a transparent and fair manner, consider matters raised by members and from other parties as appropriate, and ensure that the sections’ views and needs are represented to the Clubs Main Committee and the Golf Operator (Get Golfing).
- Agendas and minutes will be circulated within the membership.
- The Committee shall comprise the following 6 members (figures in brackets show the period for which appointed)
A Chair (3 years)
Current Captain and Vice Captain ( 2 years) Secretary (3) Treasurer (3) Competitions Secretary (3 ) - Further appointments will be Communications Officer (3) , Trophy Secretary (3) Assistant Competitions Secretary (3 ) and Swindle Organiser (3) who will be consulted on committee matters and may be requested to attend meetings when appropriate.
- The Committee will normally meet on at least four occasions each year and at such other times as may be required.
- The Committee can co-opt a member to a vacancy that may arise during the year until the position is filled at the next AGM.
- The Committee quorum is 4.
- The WP Section ‘Senior Section Guidance’ (*will be available on the website) sets out in more specific terms the way in which the Section operates, the roles of those involved in official capacities and general guidance on the way its events and activities are managed
- 6.0 CHANGES TO THE CONSTITUTION
- A proposed change to the Constitution can only be made by a resolution passed at the AGM or at an EGM. A resolution for that purpose can only be considered by the AGM- EGM if a min of 10 members have signed a formal request.
- In the event that the Section ceases to operate all its funds swill be donated to an
